  • Overview

    Responsible for the recording of tenant receivable activities in the Property Management systems for portfolio of multiple entities with various deadlines.  Works directly with Property Accountants and Property Management team regarding receivable issues, monthly tenant billings and tenant adjustments. Provides excellent customer service with an eye toward continuous improvement.

    Responsibilities

    Lease Administration:

    • Lease Review: New/Renewal/Expansions/Relocations.  Compare PM’s input vs lease document, efficiently & accurately follow the checklist provided
    • Lease Activation: Administrator cannot  review and post the same file, this requires coordination
    • Commercial Billing Review/Adjustments based on PM’s recommendations
    • Commercial Billing Posting: compare Rent roll vs. Billing report
    • Revise Billing, Input holdover, Move-out processing
    • Special Projects: assist in providing supporting documents to Auditor

    Accounts Receivable:

    • Cash Application/Post: input cash receipts and apply to the charges in the system accurately and efficiently according to instructions and policy provided
    • Able to communicate effectively and efficiently with peers, Property Managers and Property Accountants on cash receipts that need to be researched prior to application
    • Log into multiple banking websites to pull lockbox reports, manage deposits exceptions and review bank activity for tenant ACH/Wire payments and save bank files
    • Prepare journal entries for daily cash upload
    • Time management of the early cash receipt cut-off
    • Tenant Charges: review misc. charges, process and post tenant adjustments; Move-out, recurring adjustments review and post to tenant’s ledger
    • Identify the non-tenant cash receipts, save in the A/R report and distribute to Accountants for journal entries
    • Prepare month end A/R reports/reconciliation
    • Process Management Fees
    • Manage the monthly utility reimbursement billing process and rebill (reimbursable tenant specific charges)
    • Work with other company departments, i.e., cash management, portfolio accounting as necessary
    • Prepare Accounts Receivable Tenant related account reconciliation
    • Manage internal clients (accounting) and external clients (property management) relationship
    • Perform all other duties as assigned and assist the overall team effort in any way possible
